Can admin restrict downloading of documents, company policies, and forms?

Yes. The admins can now restrict the downloading of documents, company policies, and forms to ensure the careful handling of sensitive and confidential information. 


These restrictions, which apply across the ESS and admin portals, minimize the risk of unauthorized distribution or misuse for admins, managers, and employees.


To restrict the employees and managers from downloading the documents, company policies, and forms, the admin must perform the following actions:

  1. From the greytHR Admin login, navigate to the Settings icon > User Administration > User User Roles. The User Roles page opens.

  2. Select the required user role card and click the Edit icon. A page opens.

  3. From the Search text box enter download. The table displays all the related features.

  4. Select the features Download Document in ESS (PDF) and Download Forms and Policies in ESS (PDF) and disable the Read Access and Write Access checkboxes.

  5. Click Save to update the changes.


Note:

  • Even the admin role can have restricted download access for documents, company policies, and forms. 

  • If you want, you can restrict the PDF download access for certain employees with help from our greytHR team. To do this:

    • Remove the PDF download feature from the Employee Role.

    • Create a new role that includes only the PDF download functionality. 

    • Assign this new role to the employees who need access to the PDF download feature.
