How can admin publish Form 16 Part A & Part B document to employees after generating it from traces?

Form 16 Part A provide essential information related to the employer, employee, and tax deducted at source (TDS) during a specific financial year.
Form 16 Part B provides details such as the breakup of salary components, allowances received, deductions under various sections of the Income Tax Act, exemptions, and other income sources.


To generate Form 16 in greytHR and publish it to employees, the admin must perform the following actions:

  1. From the greytHR Admin login, hover on the 9 dotas and go to Payroll > Admin > Form 16
  2. Click Generate Form 16. Step 1: UPLOAD PART A section appears.
  3. Under Upload Form 16 Part A Zip/Pdf files, click Upload File to upload Part A.
  4. Click Next. Step 2: VERIFY PART A section appears.
    Note: Ensure Form 16 Part A is accurate.
  5. Click Download to download the Part A file of Form 16 to verify its progress.
  6. Click Next. Step 3: UPLOAD PART B section appears.
  7. Under Upload Form 16 Part B Zip/Pdf files, click Upload file to upload the Part B.
  8. Click Next. Step 4: VERIFY PART B section appears.
    Note: Ensure Form 16 Part B is accurate.
  9. Click Next. Step 5: SIGN section appears.
    Note: If you are signing the Part A and Part B files for the first time on greytHR, you must download the greytHR digital signer.
  10. Click Download greytHR Digital Signer to download the digital signer.
  11. Install the greytHR Digital Signer in your system, and sign the documents digitally.
  12. Click Next. Step 6: Publish section appears.
  13. Click Publish to Portal to publish Form 16 to the employees' ESS portal.
  14. Alternatively, click Email to send Form 16 to the employees' email addresses. The Below mail will be sent to employee pop-up appears.
  15. Click Send. Email Form 16 pop-up appears.
  16. Click Confirm to send Form 16 to the employees' mail address.
