How can admin apply leave on behalf of employee?

When an employee is unable to personally submit the leave application due to various reasons, such as illness, emergency situations, or unavailability, the admin submits a request for a leave of absence on behalf of an employee.


To apply for leave on behalf of an employee, the admin must perform the following steps:

  1. From the greytHR Admin portal, navigate to Leave > Information > Employee Leave. The Employee Leave page opens.
  2. On the Employee Leave page, search for the employee for whom you want to apply for leave.
  3. Click Apply On Behalf. The Apply On Behalf page opens.
  4. From the Leave Type dropdown, select the required leave type.
  5. From the From Date dropdown calendar, select the date from which the employee has taken leave.
  6. From the From Session dropdown list, select the relevant session. 
  7. From the To Date dropdown calendar, select the date up to which employee has taken leave.
  8. From the To Session dropdown list, select the relevant session. 
  9. From the Apply To dropdown list, select the reporting manager of the employee.
  10. In the Reason description box, specify the reason. It is a good practice to specify the reason.
  11. In the Contact Details text box, enter the employee's contact number in case of an emergency. This step is not mandatory.
  12. In the CC To dropdown list, select another employee, in case you want to notify someone else too. This step is not mandatory.
  13. Click Upload File to upload the related documents. This step is not mandatory.
  14. Click Save to apply for leave on the employee's behalf.
