How can admin opt for manual leave year end proces?

Processing the leave year-end manually refers to managing and adjusting employee leave balances at the end of a specific period, typically the calendar year, without the use of automated software or systems. By default, the process is set to run automatically on the 7th of the first month of the leave cycle. However, you can choose to make the changes and process it manually.  

 

To perform leave year end (LYE) manually, from the greytHR Admin Home page, on the LEAVE YEAR END banner click Automate process to view the Time for Leave Year End Process 2025 banner.

  1. Select option No, I prefer to do it manually.
  2. Click Submit.
  3. From the greytHR Admin portal, hover over the 9 dots and select Leave and Attendance Admin Year End Process.
  4. On the Year End Process page, you can see:
    • Pending Application: Displays all pending leave applications.

      1. On the Pending Applications tab, use the Manager filter to customize the pending applications list.

      2. Select Accept/Reject. You can also select Remind as Email to send a reminder email to the manager.

    • Year End Policy:
      To edit the existing leave year-end policy, under the Year End Policy tab, select the scheme you want to edit.

      1. Click the Edit icon. 

      2. Adjust fields as necessary:

        • Maximum limit of carried-forward leave: Enter the required days.

        • Maximum limit of encashable leave: Enter the required number of leaves.

        • Maximum limit for leave transfer: Enter the required number.

      3. Click Save.

    • Manual Process: Lists processed batches, including employee details like balance, encashed, lapsed, and closing leave balances.

      1. On the Manual Process tab, click Year End Process.

      2. Select the relevant Leave Year from the dropdown.

      3. Choose the Leave Scheme and the Leave Types.

      4. Click Process to complete the manual LYE.
