How can admin create switch user configuration for employees in greytHR?

To create a switch user configuration for employees, the admin must  perform the following steps: 

  1. Create switch user

  2. Add user in linked employee.

  3. Verify the activation of Switch User option in ESS portal.


Create switch user

To create a switch user, the admin must perform the following actions:


1. From the greytHR Admin portal, navigate to the Settings icon > User Administration > User > Users. The Users page opens.


2. Click Add User to create a new user. A form opens.

3. In the Name textbox, enter the name of the user.

4. In the Email textbox, enter the required email address.

5. In the IP Address textbox, enter the required IP address.

6. In the Linked Employee textbox, enter the required employee name/number.

7. Select/Deselect the Is Disabled checkbox as per your requirements.

8. From the Employee Filter dropdown list, select the required option.
Note: You can also add a new employee category by clicking +.

9. Under the Roles section, select the Switch User checkbox.

10. Click Save User to update the changes. A success message appears.


Add user in linked employee

After creating a switch user, the next step is to link the switch user to an employee on the Linked Employee page. 

To link the switch user, the admin must perform the following actions:


1. From the greytHR Admin portal, navigate to the Settings icon > Linked Employee Account > Linked Employee. The Linked Employee page opens.


2. Click Add. A form opens.

3. In the Employee textbox, enter the required employee name/number to whom you want to link as a switch user.

4. From the User dropdown list, select Switch user.

5. From the From Date dropdown calendar, select the required date.

6. From the To Date dropdown calendar, select the required date.

7. Click Save to update the changes. A success message appears.

Note: You can also edit or delete the linked employee’s user names by clicking the Edit or Delete icons available on each row.


Verify the activation of Switch User option in ESS portal

After linking an employee to a switch user, the employee can view the Switch User option on their ESS portal.
