Why is the ESI upload format not displaying reason for zero workdays code?

Employee State Insurance (ESI) is a self-financing social security and health insurance scheme for workers. It provides them with benefits for sickness, maternity, injury, or death due to employment injury.


To generate an ESI upload format with a proper code, the admin must 

  • Map the codes with the leaving reason on the Leaving Reason page.
  • Select the required leave reason while updating the resignation details.


Map the codes with the leaving reason on the Leaving Reason page

To map the codes, the admin must perform the following actions:

  1. From the greytHR Admin portal, click the Settings icon > System Settings > Employee > Leaving Reason. The Leaving Reason page opens.

  2. In the Description column, double-click the row to enter the required leaving reason.

  3. In the Code column, double-click the cell to enter the required code for the leaving reason.

  4. In the PF Code column, double-click the cell and select the required option from the dropdown list. 

  5. Click Save. A success message appears. 

Select leave reason while updating the resignation details

To select the required leave reason, the admin must perform the following actions:

  1. From the greytHR Admin portal, navigate to  Employee > Information > Separation. The Separation page opens.

  2. from the Search Employee search box, enter the employee number or name to whom you want to add the information.

  3. Under the Resignation Status section, from the Separation Mode dropdown list, select the separation mode. Let us take the example of choosing Resigned as the Separation Mode. A list of sections appears.

  4. On the Resignation Details section, click the Edit icon.

  5. From the Resignation Submitted On dropdown calendar, select the date the employee applied for resignation.

  6. From the Reason For Leaving dropdown list, select the employee’s reason for leaving the organization.

  7. Select the Notice Required checkbox to ensure that the employee serves the notice period.

  8. In the Notice Period text box, enter the employee’s notice period.

  9. In the Short Fall In Notice Period text box, enter the number of days excluded from the notice period.

  10. From the Tentative Leaving Date dropdown calendar, select the required date.

  11. Select the Exclude from final settlement checkbox to exclude the employee from the final settlement process. The step is applicable only in a few situations.

  12. In the Remarks text box, enter the remarks, if any.

  13. Click Save to add the separation details of the selected employee.

    Note: To delete or remove the updated separation details, click the Edit icon on the Resignation Details section. You can remove the inaccurate details and click Save.
